Privacy Policy
How Schedule X handles information for the scheduling teams that use it.
Effective November 2, 2026
Who this applies to
Schedule X is workplace scheduling software used by gastroenterology practices and their staff. Accounts are created by a practice administrator, not by the public. This policy describes the information the app stores and how it is used.
Information we store
- Account details — your name, email address, and assigned role (administrator, location administrator, staff, or provider).
- Provider profile — role, specialty, assigned clinics, and which location types you are eligible to work.
- Scheduling data — shift assignments, dates, locations, and any notes an administrator adds to a shift.
- Availability and requests — preferred working days and locations, blocked dates, time-off requests (dates, type, reason) and the approval status of each request.
- Calendar connection (optional) — if you connect Google or Outlook, we store the calendar authorization tokens and the sync status needed to keep your schedule in step with that calendar.
How the information is used
To build and display schedules, keep coverage visible across locations, route time-off requests for approval, sync assignments to a calendar you connected, and produce workload and coverage reports for your practice. We do not sell personal information and do not use it for advertising.
Who can see it
Access is controlled by role. You can see your own schedule and requests. Administrators for your practice, and location administrators for the locations they manage, can see provider and staff scheduling data. Requests you submit are visible to the administrator or manager who reviews them.
Service providers that host the app and its database process this data only to run the service. If you use the in-app scheduling assistant, the request you type and the scheduling context needed to answer it are sent to an AI model to generate a response.
Your choices
You can update your own availability preferences and time-off requests in the app, and you can disconnect a linked calendar at any time. You can delete your account from Settings inside the app; doing so removes your account and linked provider profile. Request data and schedule history are retained by your practice as scheduling records unless your administrator asks for their removal.
Security and retention
Data is transmitted over HTTPS, stored in a managed database, and reachable only by signed-in accounts with the roles described above. Information is kept for as long as your practice uses Schedule X.
Not intended for children
Schedule X is a workforce tool for healthcare staff. It is not directed to children and does not knowingly collect information from anyone under 18.
Changes and contact
If this policy changes, the effective date above will be updated. Questions about this policy or about data held for your practice can be sent to your practice administrator, or to us through the Support page.
